Parent-Teacher Meeting
1st Year Students
Date: Thursday January 19th 2023
Time: 16:15pm to 18:45pm.
Venue: School Sports Hall
While there are no specific health or medical restrictions at present, please note the following;

- If you are unwell or have any symptoms of illness, please do not attend the parent/teacher meeting.
- Face masks will be provided at the Sports Hall entrance for those parents/staff who wish to wear them.
- Please avoid shaking hands as it may lead to increased potential to spread any flu/RSV/Covid virus.
Your son is welcome to attend this meeting with you should you wish.
Guidelines for Parent-Teacher Meetings
Welcome to the Parent Teacher meeting for your son. We hope that you find the time spent with each teacher a useful experience in adding to your information as to how your child is progressing in our school. You will have access to your son’s school report on VSware.
Please remember that you can contact any individual subject teacher or Year Head through our office to make an appointment to discuss an issue of concern.
Your child’s class tutor and year head have a special role in taking care of your child while they are in our school and may be of assistance where the issue is not related to a specific subject. We also have career guidance and counselling staff available to meet you by appointment.
Due to the brief time available for each parent and teacher to talk about each student, we ask you to observe the following guidelines for the duration of the parent-teacher meeting.
- Please bring any helpful documentation with you: list of the relevant teachers’ names and subjects, student journal, recent report, etc. (some of which will be provided in advance of the day)
- Check you are in the correct line before queuing to see a teacher. Some of our staff members share the same surname, so it will be useful to know if it is Ms X the science teacher or Ms X the Spanish teacher. Students and staff members will be happy to help if you have any questions.
- When you meet the teacher, please introduce yourself and state the name and class of your son. Teachers can sometimes find it hard to remember a face on such occasions, even if they have met you before.
- Because of the number of people present at parent-teacher meetings, conversations may not be very private. If an issue arises that you would prefer to discuss privately, please inform the teacher and arrange an appointment for a later date.
- If a teacher is finishing the meeting and you feel you have more to discuss, ask for additional time. If this is not possible, the teacher will suggest you make an appointment for a later date.

Date: Monday November 28th
Time: 16:15pm to 18:45pm. Online: PTM Organiser & Microsoft Teams
Dear Parent/Guardian,
This year, we will carry out 3rd year parent-teacher meetings online using the Microsoft Teams Platform.
We understand the importance for staff and parents to communicate and discuss the progress of their son/sons in school.
To facilitate these online meetings, the school will be using ‘PTM Organiser’ software, which enables parents to book appointment slots with teachers. ‘PTM Organiser’ is a web-based system that allows parents to enter their preferences.
Using the information contained in the letter sent home with your son on November 16th, you should log onto the PTM organiser system using the following link:

You must log on promptly to organise your appointments slots. Your appointment list is created by you choosing your appointments in order of your preferences. The higher you rank a subject in your preferences, the more likely it is that you will get that preference.
Instructions on how to use PTMOrganiser can be found here.
It is essential to book your appointment times promptly, as the maximum number of appointments a teacher can have is twenty-eight slots. In some instances, where a teacher teaches up to two class groups, the slots will be filled more quickly. It may not be possible to accommodate all your preferences
Parents/Guardians will be able to enter their preferences from 9am on Monday the 21st of November until 4pm on Wednesday the 23rd of November.
Steps for Parents/Guardians to follow when booking meetings:
- You will have received a letter from the school with your son’s VSware ID and a link to the PTM Organiser website.
You will need this information for logging in and booking the appointments and if your son has not brought it home, please contact the office on 051421182.
- Parents can log onto the website, from 9am Nov 21st to 4pm on Nov 23rd, to choose the appointments they want to receive.

- Please order your preferences from 1-10 in selecting the teachers you want to meet. If you select 0, that indicates you do not need to meet this teacher.
- The schedule for appointments for each parent will be available to view, on PTM Organiser, from Thursday, November 24th once all parents have submitted their preferences. Failure to complete your preferences will result in no appointments being made.
- The teacher will contact you at the appointed time through the TEAMS Platform at the time assigned.
Some Further information regarding structure
- Each meeting slot is a maximum of five minutes long. This is to ensure all parents have an opportunity to speak to the teacher.
- You will need access to your son’s Microsoft Teams account to attend the online meeting. You should begin the process of organising this with him asap.
